RE forms

The RE form is an University-wide requirement. It informs the requesting researcher’s faculty, as well as the Office of the Vice-President of Research and Innovation (OVPRI), of the proposed projects requirements and overall project objectives. It is an internal form that must be submitted to the OVPRI unit responsible for managing the grant submission (RMS, IREX or ISS) for every funding application or contract. Signature by the faculty (the vice-dean research or the dean) confirms the faculty’s approval and support for the project, and is also used to confirm the faculty’s ability to host the proposed research activities if funded.

Key deadlines and processes

Tri-Agency competitions with a high volume of applications 

To ensure an efficient and compliant submission of your grant application to the Tri-Council, for a regular competition that typically receives a high volume of applications, please take note of three key steps (Faculty, RMS and Agency), each with its own deadline and objective:

🕓 Several days or weeks before the agency deadline – the researcher sends their draft application to their faculty research office 
📌 Check with your Faculty research office for the exact date.

Purpose:

  • To support the development of your application in details.
  • To allow for a thorough early-stage review, giving you time to incorporate feedback and strengthen your proposal.  

2. Research Management Services (RMS) institutional deadline

🕓 3 business days before the agency deadline - the researcher is required to have submitted online on Agency portal and to send RMS a signed RE form 
📌 Refer to the table below for internal deadlines.

Purpose:

  • Final check for completeness of all applications.  
  • Eligibility and support confirmation with faculties (through the RE form).  
  • Institutional submission of complete applications via the agency portal on behalf of the university.  

3. Agency deadline

Purpose:

  • Final submission by RMS on the agency portal.
  • Ensures each application is validated and submitted on behalf of the institution.

All grant submissions require one signature of approval from OVPRI (RMS, ISS, or IREX). The deadline for internal submission of the proposal and RE form (signed by all parties) for signature is 48 hours prior to the agency deadline. This is in addition to any internal deadlines that a faculty research office may have in place, which will vary according to faculty procedures and funding programs. It is the researcher’s responsibility to ensure that the proposal is submitted on time and to understand the submission process for the target funding agency, as well as Institutional requirements.
